Lesson 5: The Perfect Email.
Goal: Learn the standard structure of a professional English email.
Key Idea.
English Idea: English emails are like a sandwich. They have a specific Opening, Body, and Closing. In Brazil, we sometimes start emails without a greeting or use “Dear” for everyone. In English, “Hi [ Name ]” or “Hello [ Name ]” is usually better for daily work.

Now you have ChatGPT open, let’s start here.
Copy and paste this prompt into ChatGPT to start.
“I need to write an email to [Name/Role]. I want to tell them [Subject – e.g., the report is ready / I need more time].
Explain any changes you made so I can learn.”
Here is my draft in simple English: [Your Draft].
Please rewrite this to follow a standard professional structure:
Opening: (e.g., ‘I hope you’re having a good week’)
The Reason: (Why I am writing)
Call to Action: (What I need them to do)
Professional Closing: (e.g., ‘Best regards’ or ‘Thanks’)

Practice Prompts.
- The Subject Line: “I am writing an email about a ‘Meeting Reschedule.’ Give me 3 professional subject line options that are short and clear.”
- The Follow-up: “I sent an email 3 days ago and no one replied. How do I send a polite ‘follow-up’ email in A2 English? Give me a template.”
- The Attachment: “I want to say ‘Segue em anexo o arquivo.’ How do I say this naturally in English? Give me 2 ways (one formal, one casual).”
Real-World Task.
Task: Write an email to a colleague asking for a document.
- What to do: Write a 3-sentence email.
- Line 1: Greet them.
- Line 2: Ask for the “Budget Report.”
- Line 3: Say thank you.
- Which prompt to use: “Check my email for mistakes: ‘[Your text]’. Does it sound like I translated ‘Estou te enviando’ or ‘Fico no aguardo’ literally? If yes, give me the natural English version.”
- Focus: Use “I’m looking forward to hearing from you” instead of “I stay in the wait” (common Brazilian direct translation!).

A reflection prompt to ask ChatGPT.
“ChatGPT, what are the 3 most common ‘Email Phrases’ I should memorize to sound more professional? Explain when to use each one.”
